Ask for a review after every job and draft the replies

A review request goes out automatically when a job closes, and AI drafts a reply to every review for you to approve.

Worth it if

You finish more jobs than you get reviews for, or replies pile up.

Skip it if

You're already asking at every job and replying the same day. Don't pay for a tool to do what you're doing.

What gets set up

Your field software or a review tool sends a request when the job is marked done. When a review comes in, AI drafts a reply that mentions the job and the tech by name, and you approve it. Keep one- and two-star reviews for a person: one marketing agency quoted in ACHR News skips them on purpose so management handles them.

A Tucson contractor lets AI draft every review reply

Intelligent Design's software administrator uses ServiceTitan's AI to write review responses and approves each one before it posts.

Use case estimate: 0.5 to 1 hrs a week ours, not theirs

What they did. Turned on AI-written review responses in ServiceTitan. Each reply is a little different, and he approves every one.

How it went. He says the replies are almost always right, and review volume was well ahead of the previous year.

Worth knowing. The same article notes an agency that drafts AI replies but skips one- and two-star reviews so management can handle them.

Their number. 446 reviews by early July 2024 versus 418 in all of 2023 (company-reported; not all because of AI).

Zapier plus ChatGPT: review replies, social posts and lead follow-up

At an HVAC trade show session, an owner and an agency founder walked through the automations they run with Zapier and ChatGPT.

Use case estimate: 0.5 to 1 hrs a week ours, not theirs

What they did. Automated Google review responses, posting new reviews to social media, invoice summaries, and a lead follow-up run on day 1, 3, 7 and 14 that stops when the customer replies.

How it went. Presented as working setups. The hours-saved figures in the article don't add up, so I've left them out.

Worth knowing. Drafts land in Gmail for a person to check before anything sends.

You’ll need

  • A verified Google Business Profile
  • Customer cell numbers or emails in your job software

Try it

Write a reply to this Google review for [company name], an HVAC company in [town]. Review: [paste review]. Thank them by first name, mention the job and the tech if they're named, and keep it to two or three sentences. Sound like a local owner, not a corporation. No discount offers. If the review is negative, don't reply; tell me to handle it myself.

Read what it gives you before you send or use it. You know your customers; it doesn’t.

Run your own numbers

Count the reviews you reply to and the requests you'd send in a normal week.

Why it matters

Happy customers rarely leave a review unless you ask, and asking by hand after every job doesn't happen in July. Replying to the reviews you do get falls to the owner, usually late at night.

How I estimated the hours

0.5 to 1 hrs a week: Asking for reviews by hand and replying to 5 to 10 reviews a week at about 5 minutes each. Rounded down.

Questions

Yes, as long as a person approves each reply and the replies don't all sound the same. One Tucson-area HVAC company's software administrator told ACHR News their AI replies were "almost always spot on" and that he still approves each one.
