Text back every missed call

When you can't pick up, the caller gets a text in seconds asking what they need, so the conversation keeps going instead of ending at voicemail.

Also written up for Plumbing: Text back callers you miss while on a job.

Worth it if

You miss calls during the day and don't already have it turned on. Check your field software first; you may be paying for it already.

Skip it if

Your phones are answered live all day and you rarely miss a call.

Not really AI, still worth it This is plain automation. It's still one of the best returns on this whole list.

What gets set up

Honestly, most of this isn't AI. Your phone system notices the missed call and sends an automatic text: "Sorry we missed you, this is [company]. What can we help with?" Homeowners answer texts they'd never leave a voicemail for. Some tools add AI on top to keep the text conversation going and offer times, but the plain version does most of the work.

Who’s done it

Nobody has published results for this one yet, so this use case rests on my judgment. If you’ve done it, tell me how it went.

You’ll need

  • A business line that can send texts (most field software and VoIP systems can)
  • A short text message written in your voice

Try it

This one needs setup: it connects to your phones, your software or your client records, so there’s no copy-and-paste version. Have this set up for you.

Run your own numbers

Count the calls you miss in a normal week, then be honest about how many you'd win.

Why it matters

During the day the phone rings while your CSR is on another line and your techs are on roofs. Most people don't leave a voicemail. They call the next name on the list.

How I estimated the hours

0.5 to 1 hrs a week: Calling back 10 to 20 missed calls a week at 3 to 4 minutes each. Text-back gets many of those sorted by text instead. Rounded down.

Questions

No. Text-back is a simple automatic text when you miss a call. An AI receptionist answers the call itself. Text-back is cheaper and easier, and for daytime missed calls it's usually the better first step.

Maybe. Housecall Pro has a missed-call text setting in its phone settings, and Jobber's Receptionist add-on texts back callers who hang up. Check what you pay for before adding a new tool.
