Also written up for HVAC: Turn tech notes into clean estimates and invoices.

Worth it if

Someone rewrites job notes or homeowners call asking what they paid for.

Skip it if

Your plumbers already write clear descriptions.

What gets set up

The plumber types or dictates what was found and done. AI rewrites it as a short, plain-English invoice description, and for recommended work, a proposal with options and your prices. A Milwaukee plumbing company told CNN its techs use ChatGPT on tablets for exactly this. Someone reads it before it goes out.

A Milwaukee plumbing company gives its techs ChatGPT on tablets

Oak Creek Plumbing & Remodeling's technicians use ChatGPT to write invoices and proposals and to help troubleshoot.

Use case estimate: 1 to 2 hrs a week ours, not theirs

What they did. Put ChatGPT on the tablets techs carry, for invoices, work proposals and troubleshooting.

How it went. The company's president told CNN it's been worth the investment and has made the company more efficient, with more time for customers and less for paperwork.

Worth knowing. No hard numbers were given. The same story cites a Housecall Pro survey that over 70% of tradespeople have tried AI tools.

You’ll need

  • Your price book handy
  • An example of a good invoice description

Try it

You write invoice descriptions for [company name], a plumbing company. Here are the plumber's notes: [paste notes]. Write a short, plain-English description of what we found and what we did. If the notes recommend more work, add up to three options using these prices: [paste price book lines]. Under 150 words. Don't add any work that isn't in the notes.

Read what it gives you before you send or use it. You know your customers; it doesn’t.

Run your own numbers

Why it matters

"Snaked main, camera'd line, root intrusion at 40 ft, rec liner" means something to you and nothing to the homeowner. Unclear invoices lead to calls, and unclear proposals don't get signed.

How I estimated the hours

1 to 2 hrs a week: 15 to 25 invoices and proposals a week cleaned up for 4 to 6 minutes each, cut to a quick read-through. Rounded down.

Questions

It can. The prompt tells it not to add anything that isn't in the notes, and a person should read it before it goes out.

Yes. The ChatGPT and Claude phone apps take voice, so a plumber can talk through the job and paste the result into the invoice.
