Also written up for HVAC: Find replacement-ready customers in your job history.

Worth it if

Your records include install dates or ages and you install a lot of water heaters.

Skip it if

Your job notes don't record what you installed or when.

What gets set up

You export past jobs from your field software, and AI pulls out installs, ages and repair history, then sorts customers by how soon they'll likely need a replacement. You get a short list and message drafts. A person reviews it before anyone is contacted.

Who’s done it

Nobody has published results for this one yet, so this use case rests on my judgment. If you’ve done it, tell me how it went.

You’ll need

  • A job export with install dates or equipment ages
  • A paid AI plan that doesn't train on your data
  • Permission to contact the customers

Try it

This one needs setup: it connects to your phones, your software or your client records, so there’s no copy-and-paste version. Have this set up for you.

Why it matters

You installed or serviced hundreds of water heaters. Some are 10 or 12 years old now and will fail soon, usually on a weekend. That list is in your records, but nobody has time to dig it out.

How I estimated the hours

0.5 to 1.5 hrs a week: Building the list by hand takes 3 to 6 hours a month; AI sorting of an export cuts that to under an hour. Rounded down. The value is the replacements.

Questions

Use a paid business plan that doesn't train on your data, leave out anything you don't need, and keep the file on your own computer. That's why this one is marked as needing help.

Something useful, not salesy: the tank's age, the warning signs, and an offer to check it. People respond to a heads-up from the plumber who installed it.
