Fill maintenance plan tune-ups before the rush

Reminders go out to plan members and past customers when their tune-up is due, so the board fills before the first heat wave or cold snap.

Worth it if

You sell maintenance plans and someone books tune-ups by phone each season.

Skip it if

You don't have a plan or a list of past tune-up customers yet. Start the plan first.

Not really AI, still worth it The reminders are automation. AI just helps write them and sort the replies.

What gets set up

The reminders themselves are plain automation in your field software: when a plan visit or tune-up is due, a text and email go out with a booking link. AI helps write reminders people actually answer and sorts the replies. One HVAC company in a vendor case study booked 250 tune-ups in three days from one campaign.

Who’s done it

Real exampleVendor case study

A tune-up campaign books 250 visits in three days

Harley's Heating & Air in Lincoln, Nebraska ran an automated campaign pushing members to book seasonal maintenance.

Use case estimate: 1 to 2 hrs a week ours, not theirs

What they did. Ran an automated marketing campaign to plan members, and used an AI agent that booked a before-hours call and slotted it as the first job of the morning.

How it went. The campaign filled the board fast, and techs went from four calls a day to six or seven.

Worth knowing. Vendor case study. The shop also dropped plumbing, changed equipment lines and switched to arrival windows at the same time, so not all of the gain is from the software.

Their number. 250 tune-up appointments booked in three days (vendor-reported).

Why it matters

Every spring and fall someone spends days calling plan members to get tune-ups scheduled. The ones who don't get reached book late, right when you're slammed with repair calls, or not at all.

How I estimated the hours

1 to 2 hrs a week: Calling or texting 30 to 60 plan members a season at 3 to 5 minutes each, spread over the weeks before the rush. Rounded down.

Questions

Mostly no. The reminders are scheduled automation that Jobber, Housecall Pro and ServiceTitan all do. AI's part is writing better messages and helping sort the replies.

Jobber's automated reminders start on its Connect plan. Housecall Pro puts recurring maintenance agreements on its MAX plan. ServiceTitan doesn't publish prices.
