AI drafts answers to the routine emails (scheduling, payment questions, warranty basics) so the office or owner just reads, fixes and sends.
Also written up for Plumbing: Answer routine customer emails faster.
Someone spends an hour or more a day on routine email.
Most of your customers call or text instead of emailing.
The AI built into Gmail or Outlook, or a Claude Project with your standard answers, drafts a reply in your voice. Someone reads it, fixes anything wrong and hits send. It doesn't send on its own.

You help me answer email for [company name], an HVAC company. Our standard answers: [hours, service area, warranty terms, payment options, how to reschedule]. Draft a reply to this email: [paste email]. Keep it short and friendly, use only the standard answers above, and if you'd need information you don't have, write [CHECK] where it goes instead of guessing.Read what it gives you before you send or use it. You know your customers; it doesn’t.
Count routine emails, not the ones that need real thought.

No. If you're on Google Workspace or Microsoft 365, the AI is an add-on to what you have. If not, a Claude account with your standard answers works with any email.
