Draft replies to the office inbox

AI drafts answers to the routine emails (scheduling, payment questions, warranty basics) so the office or owner just reads, fixes and sends.

Also written up for Plumbing: Answer routine customer emails faster.

Worth it if

Someone spends an hour or more a day on routine email.

Skip it if

Most of your customers call or text instead of emailing.

What gets set up

The AI built into Gmail or Outlook, or a Claude Project with your standard answers, drafts a reply in your voice. Someone reads it, fixes anything wrong and hits send. It doesn't send on its own.

Who’s done it

Nobody has published results for this one yet, so this use case rests on my judgment. If you’ve done it, tell me how it went.

You’ll need

  • A business email account on Google Workspace or Microsoft 365 (or a Claude account)
  • A short list of your standard answers: hours, warranty terms, payment options

Try it

You help me answer email for [company name], an HVAC company. Our standard answers: [hours, service area, warranty terms, payment options, how to reschedule]. Draft a reply to this email: [paste email]. Keep it short and friendly, use only the standard answers above, and if you'd need information you don't have, write [CHECK] where it goes instead of guessing.

Read what it gives you before you send or use it. You know your customers; it doesn’t.

Run your own numbers

Count routine emails, not the ones that need real thought.

Why it matters

The inbox fills with the same questions: when's my appointment, did you get my payment, is this covered under warranty, can you send the invoice again. Each one takes a few minutes, and there are dozens a week.

How I estimated the hours

0.5 to 1.5 hrs a week: 30 to 50 routine emails a week at 3 to 4 minutes each, with AI drafting about half. Rounded down.

Questions

Not the way I'd set it up. It drafts; a person reads and sends. That keeps mistakes out of your customers' inboxes.

No. If you're on Google Workspace or Microsoft 365, the AI is an add-on to what you have. If not, a Claude account with your standard answers works with any email.
