Turn client calls into notes and to-dos

A meeting assistant records client calls (with permission), then writes the summary and action items so nobody types notes afterward.

Worth it if

You have several client calls a week and notes fall behind.

Skip it if

Your clients won't agree to recording, or the calls are rare.

What gets set up

A meeting assistant joins the call with the client's permission, transcribes it, and writes a summary and action items. A CPA on an Intuit panel said he uses Fathom almost like another person in the meeting and builds proposals from the summaries. Fathom's free plan covers the basics.

A CPA uses Fathom like an extra person in the meeting

H. Randy Hughes III of Counting Pennies LLC described using Fathom to capture client meetings and build proposals from the summaries.

Use case estimate: 1 to 2 hrs a week ours, not theirs

What they did. Uses Fathom to record and summarize client meetings, then works from the summaries.

How it went. The same panel recap says his firm's tax-planning GPT turns a 12- to 14-hour task into under two hours, using anonymized client profiles.

Worth knowing. He reviews AI output for accuracy and says the setup should hold up to IRS scrutiny.

Their number. Tax plans from 12 to 14 hours to under 2 (practitioner-reported).

Why it matters

After every client call someone writes up what was decided and who's doing what. It's easy to skip, and then details get lost.

How I estimated the hours

1 to 2 hrs a week: 5 to 10 client calls a week at 10 to 15 minutes of note-writing each, mostly replaced by a summary you skim. Rounded down.

Questions

Ask every time. Recording laws vary by state, and some require everyone's consent.

Check the tool's data policy and your firm's rules before recording client calls.
