Worth it if

Staff spend hours each month categorizing transactions by hand.

Skip it if

Your clients' books are small and simple enough that review already takes minutes.

What gets set up

Bookkeeping software now categorizes transactions automatically and learns from your corrections, and document capture tools pull receipts and statements in. QuickBooks Online, Xero and Digits all advertise this. A three-person firm using Digits says cleanups that took afternoons now take minutes. Someone still reviews before the books close.

A three-person firm says AI bookkeeping turned afternoons into minutes

Mana Accounting and Advisory's founder writes that moving to Digits cut cleanup time on client books.

Use case estimate: 2 to 5 hrs a week ours, not theirs

What they did. Adopted Digits after QuickBooks and Zoho couldn't keep pace as the firm grew.

How it went. Cleanups that took entire afternoons now take minutes, he writes.

Worth knowing. It's an opinion piece that recommends the tool, with no disclosure either way. The numbers are the firm's own.

Their number. Up to five hours saved per client project (firm-reported).

Why it matters

Month-end means categorizing hundreds of transactions and cleaning up what clients miscoded. It's repetitive, and it crowds out advisory work.

How I estimated the hours

2 to 5 hrs a week: 10 to 20 client books a month at 30 to 60 minutes of categorization each, cut by about half with review instead of keying. Spread over the month. Rounded down.

Questions

Review them. The firms getting results describe moving from keying to reviewing, not skipping the review.

Not necessarily. QuickBooks Online and Xero both include automatic categorization. Firms that switched to newer tools did it for speed, not because they had to.
