Worth it if

You put off certain emails because they're hard to word.

Skip it if

Your client emails are short and routine.

What gets set up

You write what you want to say, rough and blunt, and AI rewrites it clearly and calmly in your voice. A CPA on an Intuit practitioner panel said he uses ChatGPT this way for late payments and missing documents, and checks every draft before sending.

A CPA uses ChatGPT to soften emails about late payments

Nick Boscia of Boscia & Boscia PC told an Intuit practitioner panel he uses ChatGPT to rephrase emails that come out too emotional.

Use case estimate: 0.5 to 1.5 hrs a week ours, not theirs

What they did. Uses ChatGPT to rework emails about late payments and missing documents.

How it went. He says it helps him communicate clearly in tough situations, and he checks every draft before sending.

Worth knowing. He advises redacting anything confidential before using an AI tool. The recap is on Intuit's site.

You’ll need

  • A business AI account
  • A habit of leaving out confidential details

Try it

Rewrite this email to a client of my accounting firm so it's clear, calm and friendly but firm. Keep it under 150 words and keep every fact exactly as I wrote it: [paste your rough draft]. Don't add promises or numbers I didn't include.

Read what it gives you before you send or use it. You know your clients; it doesn’t.

Don't paste anything that identifies a client into a personal AI account. Tax preparers have extra rules on using and sharing return information (IRC section 7216), so check before you share.

Run your own numbers

Why it matters

Some emails take 20 minutes because the tone has to be right: a client who's late paying, documents that never arrived, a refund that's smaller than expected.

How I estimated the hours

0.5 to 1.5 hrs a week: 5 to 10 hard emails a week at 10 to 20 minutes each, cut by about half. Rounded down.

Questions

Leave them out or use a business tool your firm has approved. Practitioners on the same panel advised redacting anything confidential.

Not if you edit it and it sounds like you. The goal is clearer, not fancier.
