Clients get a portal request and automatic reminders for the documents you need, so staff stop sending the same email five times.
Also written up for Law firms: Chase client documents on flat-fee matters.
Staff spend hours each week emailing clients for documents.
You already use a portal with reminders. Turn those on before buying anything.
Not really AI, still worth it The chasing is automation. AI shows up in reading and naming the documents that come in.
Practice management and portal tools send the document request, track what's come in, and remind clients on a schedule until it's done. Karbon, Canopy, Liscio, Financial Cents and SmartVault all sell this. Some add AI that reads and names uploaded files. The reminders themselves are automation.

Count reminder emails and calls in a busy-season week.
Every season, staff send reminder after reminder for W-2s, 1099s and bank statements. It's slow, it isn't billable, and it delays every return.
2 to 4 hrs a week: Small firms often lose 3 to 4 hours a week chasing documents in season; automated requests and reminders take over most of it. Rounded down. Monthly cost runs from a solo plan to about five seats on a mid-tier plan.
Start with whatever practice management or portal tool you already pay for and turn on its reminders. Switching systems is a bigger job than it looks.
Most will if the request is simple, comes from their accountant's name, and reminds them politely. Expect a few to still email files.
