Worth it if

You order from several suppliers and delays catch you by surprise.

Skip it if

Your CRM already syncs orders and delivery dates from your suppliers.

What gets set up

Once a day, the office pastes in (or lets the AI built into their email read) the supplier emails, and AI pulls out order numbers, delivery dates and changes, matched to the job. It flags anything that moves a scheduled job so someone can tell the crew and the customer.

Who’s done it

Nobody has published results for this one yet, so this use case rests on my judgment. If you’ve done it, tell me how it went.

You’ll need

  • Supplier emails going to one inbox
  • Job names or addresses on your orders

Try it

Here are today's emails from our roofing suppliers: [paste]. Make a table with: supplier, order number, job (address or name), what's coming, delivery date, and any change or backorder. Then list any job whose delivery moved, so I can tell the crew and the homeowner. Don't guess; leave a cell blank if it isn't in the email.

Read what it gives you before you send or use it. You know your customers; it doesn’t.

Run your own numbers

Why it matters

Order confirmations, delivery changes and backorder notices come in from several suppliers. Someone has to catch the one that pushes Tuesday's tear-off, and tell the homeowner.

How I estimated the hours

0.5 to 1.5 hrs a week: 20 to 40 supplier emails a week at 2 to 3 minutes each to read and log, cut to a daily summary. Rounded down.

Questions

Not in this simple version; it reads the emails. Some roofing software connects to supplier ordering directly, which is a bigger setup.

Ask it to leave cells blank when unsure, and check anything that affects a scheduled job.
