Answer "where's my job?" calls before they come in

Homeowners get a short status update at each step (materials ordered, crew scheduled, weather delay) so they stop calling the office to ask.

Worth it if

Your office takes a lot of "when are you coming" calls.

Skip it if

Your CRM already sends automatic status updates customers actually read.

What gets set up

At each milestone, the office drops a few notes into AI and gets back a clear, friendly update to send by text or email. A weather delay or a supplier backorder gets explained once, before the homeowner has to ask.

Who’s done it

Nobody has published results for this one yet, so this use case rests on my judgment. If you’ve done it, tell me how it went.

You’ll need

  • A list of job milestones you'd update customers on
  • Customer cell numbers or emails

Try it

Write a short status update text for a roofing customer named [first name]. Job: [address]. Update: [e.g. shingles are backordered until the 14th; we'll call to schedule the crew once they arrive]. Explain plainly, apologize once if it's a delay, and say when they'll hear from us next. Under 320 characters. Sign it [company name].

Read what it gives you before you send or use it. You know your customers; it doesn’t.

Run your own numbers

Count status calls the office takes in a week.

Why it matters

Between signing and the tear-off, homeowners wait weeks and call to ask what's going on. Each call means looking up the job and explaining material lead times or weather again.

How I estimated the hours

1 to 2 hrs a week: 15 to 30 status calls a week at 3 to 5 minutes each, with about half avoided by proactive updates. Rounded down.

Questions

Some roofing CRMs send milestone updates on their own. The AI part is writing the tricky ones, like delays, so they don't sound canned.

At each real change: materials ordered, delivered, crew scheduled, delays, and done.
