Answer after-hours emergency calls

An AI receptionist picks up nights and weekends, sorts real emergencies from tune-up requests, and books or texts the on-call tech instead of sending people to voicemail.

Worth it if

You miss more than a few calls a week after 5 p.m. or on weekends, or you're paying an answering service that only takes messages.

Skip it if

Someone already answers live 24/7 and books well. Fix the daytime missed calls first; that's usually a text-back, not a robot.

What gets set up

An AI receptionist answers in your company's name, asks the questions your CSR would (no heat or no cool, how old is the system, is anyone at risk), and then does one of three things: books the call into your schedule, texts the on-call tech the details, or takes a clean message for the morning. The better ones book straight into ServiceTitan, Housecall Pro or Jobber so nobody retypes anything.

A $10M HVAC shop puts an AI agent on after-hours calls

A former HVAC owner describes adding AI voice agents that book into ServiceTitan after hours and when the CSRs are busy.

Use case estimate: 1 to 2 hrs a week ours, not theirs

What they did. Put an AI voice agent on after-hours and overflow calls. It schedules sales and service calls in ServiceTitan.

How it went. The first calls were rough, and it improved over the following months. He kept his human CSRs for daytime calls.

Worth knowing. He suggests piloting it in the dead hours, like midnight to 4 a.m., before trusting it with busier times.

“Initially, there were painful conversations with clients”

A Dallas-area HVAC company lets an AI voice agent book calls

Bill Joplin's Air Conditioning and Heating put ServiceTitan's AI voice agent on its phones and reports most calls booked without a person.

Use case estimate: 1 to 2 hrs a week ours, not theirs

What they did. Turned on ServiceTitan's AI voice agent for inbound calls and texts.

How it went. The company says it handled more than 1,300 calls in about three months.

Worth knowing. This is a vendor press release, and it doesn't say how many of the calls came after hours. The revenue figures in it are the company's own estimates.

Their number. More than 90% of calls booked and 72% handled with no person involved (vendor-reported).

Why it matters

A no-heat call at 9 p.m. is the most valuable call you'll get all week, and it usually lands in voicemail or with an answering service that takes a message. By the time someone calls back, the homeowner has called two other companies.

How I estimated the hours

1 to 2 hrs a week: 8 to 12 after-hours calls a week at about 10 minutes each for the on-call tech to answer, sort and call back, with AI handling most of the booking. Rounded down. The bigger payoff is jobs you stop losing to voicemail, which is why the calculator for this one runs on jobs, not hours.

Questions

Some will, especially early on. A former HVAC owner writing in ACHR News said the first calls were rough and it got much better over a few months. Start with the hours nobody answers now, like midnight to 6 a.m., so you're only replacing voicemail.

Some can. Jobber's and Housecall Pro's own receptionists book inside their software, and ServiceTitan sells its own voice agent. Standalone tools like Rosie usually text you the details instead, which is fine for a small shop with one on-call tech.

From free (Smith.ai's free tier covers 25 calls a month) to about $150 a month for most small shops. ServiceTitan, Housecall Pro's CSR AI and Avoca don't publish prices.
